We take your privacy seriously. This policy explains what personal data we collect through this website, why we collect it, who we share it with, and the choices you have.

1. Who we are

This Privacy Policy explains how CA Varsha Varyani, trading as AI Accounting Engineer (“we”, “us”), collects, uses and protects personal data when you use www.aiaccountingengineer.com (the “Website”) or contact us. We are the party that decides how your data is used for the purposes described below.

2. What we collect

Information you give us. When you use an enquiry or “Notify me” form we collect your name, work email address, WhatsApp number, and, on the enquiry form, your job title, company name and the service you are interested in. We also keep the content of any emails or messages you send us.

Information collected automatically. When you visit the Website, our analytics and advertising tools may collect your IP address, device and browser type, approximate location, pages viewed, time spent, how you reached the Website, and advertising identifiers such as campaign tags (UTM values) and click identifiers.

Course purchases. Courses are bought on Superprofile. We receive the details that platform makes available to us about the purchase (for example name, email address and the course bought). We do not see or store your card or bank details.

3. How and why we use it

We use personal data to:

  • reply to your enquiry and send proposals, by email or WhatsApp;
  • plan, deliver and support training, implementation work and courses;
  • tell you when a course you asked about is available;
  • understand how the Website and our advertising perform, and improve both;
  • prevent spam and abuse, and keep the Website secure;
  • keep business records and meet legal and accounting obligations.

We rely on your consent (for example when you submit a form or ask to be notified), and on other lawful grounds recognised under Indian law, including performing a request you have made and meeting legal obligations. You can withdraw consent at any time as explained below. We do not sell your personal data.

4. Cookies, analytics and advertising

The Website uses Google Analytics 4 and Google Ads tags to measure visits and advertising results. These use cookies and similar technologies to recognise a browser, count visits and link visits from our adverts to later actions. When you click “Enrol now”, campaign information and a cross-site identifier may be added to the link so that a purchase on Superprofile can be linked to the original visit.

You can block or delete cookies in your browser settings, use your browser’s privacy controls, or manage Google advertising settings at adssettings.google.com. Blocking cookies will not stop you using the Website, but our measurement may be less accurate.

Our forms use hCaptcha to check that a submission is from a person. hCaptcha may collect technical data such as your IP address and how you interact with the form, under its own privacy policy.

5. Who we share data with

We share personal data only with service providers that help us run the Website and the business, and only as needed for the purposes above. These include:

  • Web3Forms, which delivers form submissions to our email;
  • hCaptcha, for spam protection on forms;
  • Google, for email (Google Workspace), Analytics and Ads;
  • Cloudflare, which hosts the Website and may process technical data such as IP addresses;
  • Superprofile, which sells and delivers our courses and processes payments;
  • WhatsApp or similar messaging services, when we message you at your request.

We may also disclose data where the law requires it, to respond to lawful requests from authorities, or to protect our rights. If our business is ever sold or reorganised, data may be transferred to the new owner on the same terms as this policy.

6. Transfers outside India

Some of the providers above may store or process data on servers outside India. Where that happens, we expect them to protect the data using appropriate safeguards, and we use them only as permitted by applicable law.

7. How long we keep data

We keep enquiry and contact details only as long as needed for the purpose they were collected for, and generally no longer than 24 months after our last contact with you, unless we are working together or must keep them longer for a contract, accounts, tax or legal reasons. Analytics data is kept for the period set in our analytics account settings. You can ask us to delete your data earlier, as explained below.

8. Security

We take reasonable steps to protect personal data, such as using secure, well-known providers, HTTPS on the Website and access controls on our accounts. No online service can be completely secure, so we cannot guarantee absolute security.

9. Your rights and choices

Under applicable Indian law you have rights regarding your personal data, including to:

  • ask for a summary of the personal data we hold about you and how it is used;
  • ask us to correct or complete inaccurate data;
  • ask us to erase data we no longer need;
  • withdraw your consent at any time (this will not affect what we did before you withdrew it);
  • nominate another person to exercise your rights on your behalf in case of death or incapacity; and
  • raise a grievance with us, and, if it is not resolved, complain to the Data Protection Board of India once it is in operation.

To use any of these rights, or to stop emails or WhatsApp messages from us, write to hello@aiaccountingengineer.com. We will respond within a reasonable time and, in most cases, within 30 days. We may need to confirm your identity first.

10. Children

The Website and our Services are meant for working professionals and students of finance and accounting aged 18 or over. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us data, please contact us and we will delete it.

11. Links to other sites

The Website links to other sites and platforms, including Superprofile, LinkedIn, YouTube and Instagram. We are not responsible for their privacy practices. Please read their policies before giving them your data.

12. Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top shows the latest version. If we make a significant change, we will make it clear on the Website.
